Summary:
Under the direction of the Full-Time Supply Supervisor, the Assistant Supply Supervisor plays a key role in ensuring the effective and efficient management of supply logistics at McMurdo Station. As the second-in-command within the summer Supply Department, this position involves collaborating with station management, the National Science Foundation, military personnel, and other agency representatives, ensuring all communications are conducted professionally and tactfully. The Supply Assistant Supervisor is responsible for overseeing, monitoring, and evaluating the performance of subordinate staff, providing recommendations for performance appraisals, and contributing to their professional development. This position assists in managing the movement, storage, and distribution of goods, ensuring inventory accuracy, and ensuring timely supply deliveries across various departments. Additionally, the role includes implementing and refining standard operating procedures to enhance operational efficiency.
Position Responsibilities:
* Prioritizes safety and ensures adherence to workplace safety standards.
* Adheres to Environmental, Safety and Health (ESH), Waste Management, and Quality Assurance policies, goals, and procedures.
* Assist the Supply Supervisor in managing daily supply logistics, including staff scheduling, data management, and resource tracking to ensure smooth departmental operations.
* Collaborate with internal Supply teams to compile and maintain accurate data and documentation for weekly reports to the Supply Supervisor, Station Management, and Logistics Department Management.
* Oversee and monitor the receipt, storage, and distribution of supplies, ensuring adherence to quality and safety standards.
* Support the management and tracking of labor allocations for all Supply department personnel.
* Ensure that departmental documentation and standard operating procedures (SOPs) are effectively trained on, tracked, and documented.
* Assist in conducting regular inventory audits to reconcile physical stock with database records and identify discrepancies.
* Analyze supply chain data to identify trends, inefficiencies, and areas for improvement, providing actionable recommendations.
* Implement, maintain, and present a consistent workplace safety program, ensuring all Supply work centers are aligned with safety protocols.
* Aid in maintaining safety records and tracking personnel training requirements using the ATTACK training tracker.
* Maintain emergency documentation, vessel operations organization charts, and contact lists for efficient departmental operations.
* Assist in planning, training, and executing vessel offload operations, including setup, takedown, and distribution reporting. May work any role or shift during vessel offloads or special operations.
* Plan and organize departmental meetings, activities, and events in coordination with the Supply Supervisor. Lead daily and weekly safety meetings, ensuring attendance and subject matter are documented.
* Coordinate onboarding for incoming staff, including documentation packets, training schedules, and orientation activities.
* Proactively identify and recommend changes to improve Supply department operations through problem-solving and data analysis.
* Maintain professional interactions through telephone, email, or in-person communication. Operate personal computers or tablets to utilize software programs, perform data entry, run reports, and ensure data accuracy.
* Trains in vessel offload procedures and processes. May be assigned to various roles or shifts in a 24-hr period during vessel offload or other special operations while deployed.
* Completes annual training in light vehicle operation, forklift use, and inventory management systems during deployment.
* Performs other duties as assigned by Supply department management, including outdoor work in varying temperatures.
Required Education, Experience, Certificates and Licenses:
* BA/BS degree in logistics or supply chain management, or three years of equivalent experience in inventory materials management, warehousing, cargo/transportation, supply chain, or logistics.
* Alternatively, a minimum of two seasons of experience in the Transportation and Logistics (T&L) department or related areas in Antarctica will be accepted in lieu of a degree.
* Minimum of two years’ of the three years of experience must be in a supervisory role, or a minimum of two seasons of experience working in the Transportation and Logistics (T&L) department or related areas in Antarctica.

Preferred:
* Bachelor’s degree preferred.
* Working knowledge of materials movement, purchasing, inventory, and hazardous materials.
* Advanced skills in Microsoft Office, including Excel, PowerPoint, and Outlook.
* IBM Maximo experience.
* Knowledge of SharePoint.
* Strong ability to communicate clearly and efficiently to facilitate and disseminate information.
* Previous deployment to Antarctica.
* Experience with remote site logistics is highly desirable; experience with polar logistics operations is preferred.
* Familiarity with government supply systems and inventory accounting requirements is strongly preferred.
Physical and/or Other Requirements:
* Willingness and ability to deploy to Antarctica for extended periods
* Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica
* Successful completion of drug screening and background check required by employer
* Successful completion of Federal Background Check required by the NSF
* Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.
* Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.
* Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.
* Valid Driver’s License issued in the United States
* Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
