Provide personal and administrative support to the CEO at Zippia, Inc., a consumer internet start-up in Silicon Valley, California. Our mission is to organize the world's career information and enable people to make informed career and job decisions.
The ideal candidate will assist the CEO with both personal and business responsibilities, interacting regularly with internal and external contacts. Prior administrative experience in a personal and business environment, particularly working with an English-speaking executive in an American or European company, is preferred.
Responsibilities
* ADMINISTRATIVE SUPPORT: Manage the CEO's calendar, scheduling meetings, arranging appointments, and transcribing meeting minutes.
* COMMUNICATION: Compose effective correspondence, announcements, training materials, and operational reports.
* AD HOC RESEARCH, PROJECTS & EVENT PLANNING: Conduct research, gather information, and summarize findings in written reports and other formats.
Examples of Tasks
* Personal Assistance:
o Research travel destinations and make reservations.
o Schedule meetings and manage calendars.
o Draft and send communication via emails and messaging platforms.
o Help interview and organize company staffing.
* Run Errands:
o Take care of personal tasks such as laundry and shopping.
* Manage Projects:
o Assist with project management and coordination.
* Travel:
o Accompany the CEO on domestic and international trips.
o Drive to destinations as needed.
o Plan and prepare for trips.
* Portuguese Teaching:
o Teach the CEO Portuguese in spare time.
Requirements
* Fluency in English and Portuguese.
* Tech-savvy with online research tools and project management software.
* Strong analytical and problem-solving skills.
* Familiarity with gay events and culture (optional but preferred).
* Able to work in-person in Sao Paulo, near Itaim Bibi / Vila Olimpia / Jardins areas.
* Strong time management and organization skills.
* Prior experience working with a senior executive as an assistant (preferred).
Compensation
* R$3,000 to R$15,000 per month, depending on background, experience, and current compensation.
* This is a long-term full-time permanent job with 40-50 hours of work per week, sometimes more, sometimes less.
