Currently House of Shipping is recruiting for a Finance Manager on Behalf of its client in Sao Paulo - Brazil.
Job purpose
The Manager – Finance is responsible for overseeing financial operations, ensuring accurate accounting records, managing reconciliations, forecasting cash flow, handling audits, and implementing financial process improvements. The role ensures financial compliance, efficient cash management, and timely reporting while supporting business functions with financial insights.
Main tasks and responsibilities
Financial Transactions & Accounting Operations
* Record daily accounting transactions in the accounting system, ensuring financial accuracy and compliance.
* Manage DO counter operations and oversee daily cash and cheque handling.
* Post cash and bank transactions daily and perform bank reconciliations.
* Reconcile vessel and voyage accounts to ensure accuracy in financial reporting.
* Maintain up-to-date intercompany reconciliations, resolving discrepancies in a timely manner.
* Ensure all financial vouchers are filed daily for audit and compliance purposes.
* Implement financial controls and policies to ensure adherence to accounting standards and regulatory requirements.
Financial Reporting & Compliance
* Oversee month-end book closure, ensuring accurate financial statement preparation and timely reporting.
* Prepare and finalize DA (Document Against Acceptance) documents and coordinate timely fund remittance.
* Monitor and submit weekly cash flow reports to maintain financial stability.
* Support external and internal audits by preparing documentation and ensuring compliance with financial policies.
* Ensure full compliance with financial regulations, including tax laws and statutory reporting.
Cash Flow & Expense Management
* Prepare and analyze cash flow forecasts to maintain financial liquidity and operational efficiency.
* Oversee payment processes and expense tracking to control costs and maintain financial discipline.
* Monitor collections and receivables to ensure timely payments from customers.
* Maintain a structured approach to expense approvals and payment authorization to ensure compliance.
Process Improvement & Risk Management
* Identify opportunities for financial process optimization to enhance efficiency.
* Develop internal controls to minimize financial risks and discrepancies.
* Drive automation initiatives in financial reporting and reconciliation to improve accuracy.
* Ensure business risk assessment and mitigation plans are in place for financial functions.
Work Experience
* Shipping, Logistics, or Maritime Industry.
* Finance Manager or similar financial leadership role.
* Minimum 5 years of experience in financial management.
* Strong understanding of Brazil tax laws, statutory reporting requirements, and financial compliance regulations.
* Office-based role with occasional external meetings.
* Travel: Minimal travel required for regulatory or audit meetings.
1. Education requirements
* Bachelor’s degree in Accounting, Finance, or a related field.
* Proficiency in financial management software such as EBMS, Tally, and MS Excel.
