We are a small electrical contractor seeking an Office Manager who is self-motivated, has excellent organizational skills, excellent dispatching jobs, and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines. The office manager will provide strong, reliable support for operations by creating procedures and communicating effectively. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Answer phone, process customer service requests
2. Dispatching jobs using Housecall Pro
3. Maintain company calendar, manage daily scheduling for service technicians and dispatch
4. Collect payments, maintain invoices and billing
5. Accounts payable; manage bill payments, write checks from accounts to pay standard bills
6. Accounts receivable; record invoice information into QuickBooks
7. General office administrative tasks; complete assignments within tight and often difficult deadlines
8. File maintenance; properly maintain files, invoices, and customer paperwork
9. Oversee and maintain office equipment for uninterrupted function and identify needs
10. Order office supplies, anticipate needs, keep stocked, coordinate food deliveries when requested
11. Manage social media pages
REQUIRED EXPERIENCE:
1. Office management experience
2. Excellent computer skills, dispatching jobs
3. Strong organizational, time management, and people skills
4. Excellent communication skills, both speaking and listening
5. Excellent customer service, listening to their needs, working with a sense of urgency
6. High degree of flexibility and excellent multitasking ability
7. Aptitude for learning new skills and systems
8. Ability to maintain a high degree of discretion and confidentiality
PREFERRED SKILLS AND QUALIFICATIONS
1. Excellent phone etiquette and charisma
2. Computer skills: MS Word and Excel, QuickBooks online
3. Work well under pressure while maintaining a high level of professionalism
4. Work well in a team-based environment under minimal supervision
5. Experience in developing internal systems
