We are seeking to hire an Executive Assistant to provide direct support to our CEO with a wide range of personal and professional administrative tasks.
Your role will be critical in ensuring the seamless operation of both personal and business affairs.
Key Responsibilities: Building and maintaining a meticulously organized calendar, encompassing both business and family commitments, to avoid double bookings or scheduling conflicts.
Obtain quotes for various needs and consistently make recommendations for final decisions.
Assisting with personal and business travel plans, including international trips, Airbnb accommodations, resorts, and more.
Supporting the administration of the company's daily tasks.
Providing occasional support during weekends to address urgent matters.
Updating and syncing contacts from various platforms.
Managing bill payments and setting up autopayments to ensure financial matters run smoothly.
Overseeing access to the company's shared platforms for subcontractors.
Tools and Technologies: Proficiency in MS O365, including Outlook calendar integration, PowerPoint, Word, and Excel.
Expertise in calendar management across multiple platforms.
Familiarity with project management systems.
Basic knowledge of MacBook and iPhone usage.
Ideal Candidate Profile: Proven track record of similar experience as a Personal or Virtual Assistant.
Exceptional responsiveness during Eastern working hours.
Fluent in English with excellent verbal and written communication skills.
Strong problem-solving skills and the ability to adapt to a fast-paced environment.
Creative, innovative, and detail-oriented.
High levels of flexibility, professionalism, and integrity.

Employment Type: 20 - 30 hours per week Payment: Hourly Rate Salary Payment.
Working Hours: Full-time availability overlapping the Ottawa Time Zone, including some weekend availability.
