We are looking for an Operations Assistant to organize and coordinate administration and office procedures. Your role is to create and maintain an efficient work environment, ensuring high levels of organizational effectiveness, communication and safety.
**Summary responsibilities**:
- Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping;
- Schedule meetings and appointments;
- Organize the office layout and order stationery and equipment;
- Maintain and organize all office related topics such as rent, work with the building’s management, new office spaces, office relocation, furniture, necessary repairs, and so on;
- Keep track of company equipment;
- Manage contract and price negotiations with office vendors, service providers and office lease;
- Manage office G&A budget, ensure accurate and timely reporting;
- Provide general support to visitors;
- Plan and execute national and international travel arrangements;
- Liaise with facility management vendors, including cleaning, catering and security services;
- Plan and organize in-house or off-site activities, like parties, celebrations and conferences.
**Requirements**:
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant;
- Advanced English is a must;
- Excellent interpersonal, listening and behavioral skills;
- Strong verbal and written skills;
- Skill in prioritizing and triaging obligations;
- Excellent time management and organization;
- Strong organizational and planning skills in a fast-paced environment;
- Necessary to live in Caxias do Sul/RS or nearby cities.
