What we do
Our mission is to empower building materials suppliers with great technology. There are over $1,000,000,000,000 of building materials bought in the US every year, and many of these transactions happen in on-prem point-of-sale systems. We want to bring these transactions online, enabling better experiences for contractors and homeowners alike.
Key Responsibilities
A. Recruiting
* Candidate Sourcing: Utilize LinkedIn to source candidates based on feedback from the hiring manager.
* Application Review: Screen applications, filtering candidates for rejection or progression according to hiring manager input.
B. Finance
* Financial Modeling: Update the company’s operating plan weekly.
* Bookkeeping: Manage transactions and deliver monthly financial statements (P&L, Balance Sheet, and Cash Flow).
* Receivables Management: Ensure accounts receivable (AR) is below 5% of ARR by collecting overdue SaaS payments.
o Maintain near-zero overdue amounts (61+ days) on the AR Aging Report.
* Payables: Ensure all bills are paid promptly and strategically.
* Reimbursements and Mileage: Process employee reimbursements and mileage claims.
* Disputes: Handle client payment disputes:
o Identify clients and sales linked to disputes.
o Recover funds and communicate outcomes to clients.
o Maintain records and notes in Stripe.
C. Client Success
* Compliance: Keep Stripe Connected Accounts “Restricted Soon” at zero by following up with clients weekly.
* Reports: Deliver recurring reports to clients based on their required cadence.
D. Sales & Marketing
* Salesforce Data Management: Update and maintain Salesforce records as directed by Account Executives (AEs).
* Client Success Stories: Interview live clients, draft success stories, and publish them on the website.
* LinkedIn Engagement: Publish weekly LinkedIn posts on go-lives, tagging clients, AEs, and including photos.
* Google Ads: Manage and optimize Google AdWords campaigns.
E. Human Resources (HR)
* Payroll Compliance: Ensure compliance with all state and local payroll tax regulations. Maintain accurate records.
* Commissions Management: Calculate and process monthly commissions after securing AE approval.
* Employee Support: Address employee questions related to benefits and payroll, escalating as necessary.
F. Virtual Assistant Tasks
* Email Management: Organize and respond to emails, flagging high-priority items.
* Calendar Coordination: Schedule meetings and appointments, ensuring no conflicts.
* Document Preparation: Draft, edit, and format documents or presentations.
* Research: Conduct ad hoc research tasks and compile data for decision-making.
* General Administrative Support: Assist with miscellaneous tasks as needed to support the team.
Work Schedule
* Hours: 6:00 AM - 3:00 PM Philippine Time, Tuesday to Saturday.
* Occasional Night Calls: Some tasks may require 15-30 minute calls during US working hours.
Compensation and Benefits
* Compensation: $700/month
* Independent Contractor: You will be responsible for filing and paying your own taxes.
* Monthly dinners in Alabang/BGC area.
* Unlimited audiobooks via our team subscription to Libro.
* Other benefits below are not included. As an independent contractor, you are not eligible for benefits.
Requirements
* You hold a bachelor’s degree in a related field, such as Business Administration, Information Technology, Management Information Systems, Accounting, Finance, or a similar discipline.
* Be located in Metro Manila or surrounding locations (Laguna, Rizal, Cavite, and Bulacan).
* Proven experience in operations, finance, HR support, or recruiting.
* Proficiency in tools such as Salesforce, Google Sheets, Stripe, and LinkedIn Recruiter.
* Exceptional organizational skills with a strong attention to detail.
* Strong communication and interpersonal skills for client and team interactions.
* Ability to handle sensitive information with confidentiality.
* Equipment: Must provide your own computer/laptop and other necessary equipment.
* Internet: Must have a reliable internet connection suitable for remote work and virtual meetings.
Interview Process
1. Screening Call (30 minutes): A remote call with Czarina, an Operations Lead at Rundoo.
2. Interview (30 minutes): A remote interview with Amanda, Head of Finance, Recruiting, and Operations.
3. Homework Assignment (2-hour prep): Instructions for the task will be sent after the introductory call.
4. On-Site Interview (1 hour): An in-person interview with Amanda focusing on your ability to learn quickly.
5. Culture Fit Discussion (30 minutes): A remote conversation with Sydney, an Operations Lead, about your background, aspirations, and alignment with company values.
6. Reference Check: Provide two substantial references for evaluation.
