Responsibilities
1. Management of schedules, emails, and deadlines;
2. Filtering information and following up on various topics with other team members;
3. Planning occasional trips and events;
4. Direct support to the São Paulo office and its demands;
5. Support for the direct needs of the leader;
6. Attendance at meetings;
7. Preparation of meeting minutes;
8. Preparation of various reports;
9. Drafting of proposal letters (Engagement Letter);
10. Registering all leads and client records in the CRM platform;
11. Keeping the CRM updated with negotiation details with the Lead;
12. Monitoring internal platforms and tools at Drummond;
13. Following up on proposals with Leads;
14. Ensuring that all procedures and documentation are properly organized in the filing system.
Requirements and Qualifications
MUST HAVE:
* Advanced English (will be assessed during the interview);
* Education: Bachelor's degree (completed or in progress) in Business Administration, Executive Secretariat, or related fields;
* Experience: At least 2 years of experience as an Executive Assistant, Secretary, or in high-level administrative roles;
* Organizational Skills: Ability to manage complex schedules, meetings, and national/international travel arrangements;
* Communication: Excellent verbal and written communication skills;
* Discretion and Confidentiality: Ability to handle sensitive information with absolute confidentiality;
* Proficiency in Microsoft Office Suite: Excel, Word, PowerPoint, and Outlook;
* Prioritization Skills: Ability to handle multiple tasks and tight deadlines;
* Advanced English: Fluent communication for handling documents and international interactions;
NICE TO HAVE:
* Postgraduate degree or specialization in Executive Assistance or Business Management;
* Intermediate or advanced Spanish;
* Experience with task management tools (e.g., Asana, Trello, Notion);
* Knowledge of expense tracking and reimbursement processes;
* Understanding of compliance and corporate governance;
* Proactivity and flexibility to adapt to changing priorities;
