Inventory Assistants assist the Branch Supervisor/Asst. Branch Supervisor in the efficient operations of the back office and in maintaining operational efficiency in the selling area and all clerical works. He/She is responsible for the store’s operational efficiency in the absence of the Branch Supervisor and the Asst. Branch Supervisor. He/She is also tasked to handle the store’s inventory monitoring and accuracy processes and systems.

To become an Inventory Assistant, the candidate must be endorsed or recommended by his/her Senior Branch Supervisor or Branch OIC. Once recommended for promotion, he/she has to undergo theoretical training on the job functions of the position. This training involves a qualifying exam, which, if passed, qualifies the candidate to undergo a six-month probationary period. During the training period, his/her performance shall be evaluated on the 3rd and 5th month. Once passed, HR shall announce the promotion.
DUTIES & RESPONSIBILITIES
OPERATIONS
Maintains and secures the store’s official files, reports, logbooks and other required documentation.
Opens and/or closes the store and ensures implementation of all opening and closing procedures.
Ensures that the store’s stockroom complies with set standards.
Conducts daily check of the overall presentation of the selling area.
Secures and ensures that all maintenance equipment are functional and in good condition.
Submits to the Store Head repeat orders for basic items.
Initiates transfer of non-saleable items to other stores.
Implements markdown and mark-up directives from the Merchandising department.
Ensures that items are properly tagged and correctly priced.
Reports any floor operational discrepancy to the Branch Supervisor/Asst. Branch Supervisor.
Prepares and secures pull out documents and merchandise.
INVENTORY
Recommends removal of non-performing and slow moving items.
Handles vouchering/purchase receipt, in-slip/transfer receipt and out-slip/transfer shipment as necessary.
Monitors ‘Transfer’ and ASN voucher on RPRO / Transfer Order and Purchase Order on NAV.
Ensures that Adidas and Nike promo is consistently updating WMI reports on a weekly basis.
Runs and prints inventory on-hand of Adidas and Nike items every 1st day of the following month.
Updates WMI of all outright merchandise on weekly basis (status quo).
Reports and processes damaged items for pull out.
Confirms actual receipt of deliveries as well as the disclosure of discrepancies.
Assists quarterly cycle count/spot audit per product group.
Monitors month-end inventory stock level.
Checks price changed items on display if properly tagged.
Coordinates with warehouse for the pullout of stocks for transfer.
Ensures that stocks transfer store and vice versa are properly retagged or removed of unnecessary tags.
Updates pull out documents of all transfers.
Checks daily inventory sheet.
DAILY CHECKLIST
The DAILY CHECKLIST below has been provided to ensure that the Branch Supervisor/Assistant Supervisor/IA does not fail to carry out what he/she needs to do on a daily basis.
Check store for any signs of forced entry.
Turn on circuit breaker.
Turn on POS and server computers.
Switch on security system (Security antenna and CCTV).
Conduct vault clearing (with witness).
Check stockroom area.
Deposit cash sales through bank pick-up.
File store documents.
Check ECM (Enterprise Content Management) / Sales dumping.
Do cash take out and log in remittance (every 10,000).
Do daily cash count.
Do POS opening/closing procedures.
Check staff uniform.
Check grooming.
Check window display.
Check display areas.
Check signage.
Check lighting system.
Check air conditioning units.
Check fitting rooms.
Check stock replenishment.
Check repeat orders.
Check individual sales clerk running sales versus targets.
Check all furniture, fixtures, and equipment.
Check daily inventory sheet.
INTERRELATIONSHIP
Reports directly to Branch Supervisor/Asst. Branch Supervisor.
Coordinates with Assistant Branch Supervisor regarding stocks inventory.
Coordinates with all departments and employees in all related functions.
QUALIFICATIONS:
Candidate must possess at least a Bachelor’s Degree in Computer Science/Information Technology, Business Studies/Administration/Management/Finance/Accountancy/Banking or any related courses.
Computer literate.
Must be detail-oriented.
With strong leadership.
Experience in Cashiering is an advantage.
Inclined in Sports is an advantage.
Willing to work mall hours operation.
