We are searching for the best talent for Administrative Assistant to be in São Paulo, Brazil.
Purpose:
Provide consistent support to the Regional Directors and levels above to assure great and efficient support for all administrative requests, such as:
1. Agenda management (PG 41 and levels above).
2. Support with systems requests: Iris, AskGs, Workday (PG 41 and levels above).
3. Coordinate meetings and events, internal and external such as: send the invite, choose the venue, book the room, order the equipment, food, and all arrangements required, including booking the hotel for attendees, organizing ground transportation, greeting visitors, etc.
4. Make travel arrangements: issue the ticket through the Concur system or internal travel agency, book the hotel, set up ground transportation, and fill out the subscription or travel information if needed.
5. Prepare expense reports through the Concur system in accordance with local policies and follow up on approvals.
6. Supervise and coordinate overall administrative activities and ordering office supplies.
7. Open requests to pay vendors and process the invoice (this activity will be in charge of Hub Admin Service from 2024 onwards).

6. Attention to Detail: High level of accuracy in handling and proofreading documents, data entry, and maintaining records.
7. Confidentiality: Maintain confidentiality of sensitive information and handle it in a professional and discreet manner.
8. Technical Skills: Proficient in using office software (Microsoft Office Suite), office equipment (printers, scanners), and support systems (Iris, Workday, etc.).
Qualifications
1. Bachelor's degree or equivalent.
2. Advanced English.
3. Excellent MS Office knowledge.
4. Experience working as an administrative assistant or in another equivalent position.
