Dow has an exciting opportunity for an Administrative Specialist, based in São Paulo (BRA). The successful candidate will provide administrative support and coordinate general office activities for the LA Legal Director and Brazil Legal Team.
About you and this role - What you would do in this role
Provides general administrative support to a leader or department. Exercises discretion and independent judgement in managing flow of work. Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.
Responsibilities:
1. Provide a wide variety of professional administrative support under limited direction to leaders, colleagues, or groups in the organization.
2. Competent in scheduling meetings, booking conference rooms, ordering food/drink, and managing the visitor process. May attend meetings to assist with presenting materials or taking notes.
3. Ensure communications flow properly utilizing knowledge of business/function’s organization structure and overall Dow processes.
4. Demonstrate effective problem-solving abilities, prioritize competing requests, and multitask efficiently. Comfortably use technology and exhibit strong organizational and time management skills.
5. Good planning skills and ability to anticipate needed resources. Able to adapt to change.
6. Good team player and a fixer. Helps troubleshoot issues and serves as a point person for questions or guidance. May act as department focal point with external vendors, service providers, etc.
7. Arrange domestic and international business travel, create travel itineraries, and handle flight, car, hotel, and restaurant reservations.
8. Schedules meetings and receives meeting notices for manager. Proactively manages conflicting meetings.
9. Continuous improvement within work processes and systems, maintaining and adding documents into SharePoint sites and Teams.
10. Completes expense reports for self and others and submits on behalf of leader and/or team. Monitor and track expenses against budgets; resolve discrepancies and provide reports to cost center owner or budget manager.
11. May act as a workgroup safety warden and communicate safety messages to workgroup.
Requirements:
1. Previous experience with administrative support is preferred.
2. Spanish language skills are a plus.
3. Very strong written and verbal communication skills.
4. Strong interpersonal skills and abilities to quickly build relationships.
5. Professionalism, discretion, and confidentiality.
