About the Role:
We are seeking a highly organized, proactive, and detail-oriented individual to fill a combined Project Management and Personal Assistant role. This position will support a busy entrepreneur managing three distinct businesses. The ideal candidate will be a highly resourceful problem-solver with exceptional communication skills and the ability to juggle multiple priorities in a fast-paced environment. Fluency in English is essential.
Responsibilities:
Project Management:
* Project Planning & Execution: Assist in the planning, execution, and tracking of various projects across the three businesses. This includes defining project scope, timelines, budgets, and resource allocation.
* Task Management: Create and manage project task lists, ensuring deadlines are met and progress is tracked. Utilize project management tools (e.g. Trello, Monday.com) to organize and monitor projects.
* Communication & Coordination: Serve as the primary point of contact for project-related communications, coordinating with internal teams and clients.
* Reporting & Documentation: Prepare regular project status reports, track key performance indicators (KPIs), and maintain project documentation.
* Process Improvement: Identify opportunities to streamline project processes and improve efficiency.
Personal Assistant:
* Calendar Management: Manage and coordinate the entrepreneur's complex and ever-changing calendar, scheduling meetings and travel arrangements.
* Travel Arrangements: Book and manage domestic and international travel. Create detailed travel itineraries.
* Email Management: Manage and filter the CEO's inboxes.
* Communication: Act as the first point of contact, screening calls and visitors, and handling inquiries with professionalism and discretion.
* Errand Running: Handle personal errands such as grocery shopping, dry cleaning, and other miscellaneous tasks.
* Event Planning: Assist in planning and organizing both personal and business events.
* Document Preparation: Prepare and edit documents, presentations, and reports.
* Confidentiality: Maintain strict confidentiality regarding all business and personal matters.
Qualifications:
* Fluency in English (written and spoken) is essential.
* Proven experience in project management, preferably in a fast-paced environment.
* Experience as an executive assistant.
* Strong organizational and time-management skills with the ability to prioritize and multitask effectively.
* Excellent communication and interpersonal skills.
* Tech-savvy
* Ability to work independently and proactively.
* Strong problem-solving skills and attention to detail.
* Discretion and professionalism.
* Experience supporting multiple businesses or individuals is a plus.
* Bachelor's degree preferred.
Important Information:
- Full time role (Monday to Friday 10 am to 7 pm Argentina Time Zone)
- USD Monthly payment
- Hybrid, you will be working face to face while the CEO is visiting Buenos Aires, and remotely when the CEO is working from overseas.
