Responsibilities
:
1. Coordinate and schedule interviews, ensuring all logistics are in place, including interviewers' availability, meeting rooms, and necessary equipment.
2. Serve as a point of contact for internal stakeholders regarding interview scheduling and provide timely updates on interview status.
3. Coordinate pre-employment activities, such as reference checks, background screenings, and employment verifications, ensuring timely completion and documentation.
4. Manage the day-to-day administration of the company's total rewards programs, including compensation, benefits, and employee recognition initiatives.
5. Collaborate with external vendors and internal stakeholders to ensure benefit payments, deductions and contributions are processed timely and accurately.
6. Data error management and resolution between systems to ensure accurate outputs and processing. Provide clear and timely communication to end users and stakeholders.
7. Partner with external service providers for outsourced health and welfare benefit administration and external enrollment support.
8. Manage and administer employee separation activities, including severance calculations, preparation, preparing separation packages, and coordinating with relevant stakeholders.
9. Provide employees with all necessary documentation and act as point of contact for any inquiries or issue resolution throughout the separation and offboarding process with empathy and professionalism.
10. Ensure accurate and timely data administration related to employee separations, including updating HRIS systems, maintaining separation records, and document retention.
11. Identify opportunities for process optimization and collaborate with key stakeholders to implement improvements, optimize workflows, and enhance the overall effectiveness across the Total Rewards landscape. To include system and process automation opportunities.
12. Stay updated on relevant laws and regulations related, ensuring compliance.
You will be successful in this role if you have:
13. Error reporting and resolution experience: You will work with various systems and software to manage and administer processes across the hire-to-retire life cycle. The ability to identify and report errors or discrepancies between systems is crucial. You should be able to troubleshoot and resolve issues efficiently, ensuring accurate data and smooth system operations.
14. Problem-solving skills: When encountering errors or discrepancies, you should possess strong problem-solving skills. This involves analyzing the situation, identifying root causes, and implementing effective solutions to prevent recurrence.
15. Attention to data integrity: Ensuring data integrity is essential when managing total rewards programs. You should have a keen eye for detail and be committed to maintaining accurate and consistent data across systems. Regularly perform data audits and implement data validation processes to minimize errors.
16. Technical proficiency: Familiarity with HRIS systems, data management tools, and reporting software is crucial for error reporting and resolution. Proficiency in using these tools will enable you to effectively identify and address system errors or data inconsistencies.
17. Communication and collaboration: When reporting errors between systems, clear and timely communication with relevant stakeholders is essential. You should be able to articulate the issue, its impact, and proposed solutions to technical teams, HR colleagues, and management. Collaborate with IT or system administrators to resolve errors promptly.
18. Continuous improvement mindset: Strive for continuous improvement in system processes and data management. Identify opportunities for automation, streamlining workflows, and implementing error prevention measures. Keep up with technological advancements and industry best practices to enhance system efficiency and accuracy.
Preferred Qualifications:
19. Bachelor's degree in human resources, Business Administration, or a related field.
20. Minimum of 5 years of experience in HR administration or a similar role.
21. Strong knowledge of HR principles, practices, and regulations.
22. Experience in knowledge management and case management systems.
23. Proficiency preferred in using HRIS systems (e.g., Oracle) for data management and reporting.
24. Experience working in Oracle, ADP (Global View) a plus.
25. Must be proficient in English; preferred language capabilities Spanish or Portuguese.
